As part of our end of year processing, please read and follow these directions. On August 1st, 2010 , SourcePro Software will run an end of year routine which will do several things, depending on the settings you establish. If you want us to, we can automtically "bump" each student's grade level and move them (when appropriate) to their new campus. There is no charge for this service, but we WILL need you to log into the CMTS Admin software online and specify several items.
EVEN IF YOU DID SO LAST YEAR, YOU'LL STILL NEED TO LOG IN AGAIN THIS YEAR TO EXPLICITLY SPECIFY THAT YOU WANT SOURCEPRO SOFTWARE TO PROCESS YOUR FILES FOR THIS YEAR.
(You can choose to have your district excluded from the end of year processing. If you do nothing after receiving this email, your district will be excluded from our end of year processing, no further action on your part is required. This will mean that you'll manually have to adjust the grade levels and new campuses, where appropriate, for all of your students next year by hand).
However, if you would like to be included in the processing on August 1st, 2010 we'll need you to specify which campuses feed the other campuses in your district, as well as what the highest grade level is on each campus. To accomplish this, take the following steps:
1) Log into the CMTS Admin program (http://www.sourceprosoftware.com/cmtsadmin) using your admin credentials
2) Click on File (from the main menu), then click Campuses
3) One at a time, click the Info link for each campus. When the details come up for that campus, select the highest grade level that attends that campus, as well as what other campus in the district that this particular campus feeds to. (In some cases, all campuses within a district may not be using CMTS. If the campus that the current campus feeds to is not listed, please select "ENTIRE DISTRICT"). By default, "ENTIRE DISTRICT" is already set for each campus. If you would like to exclude a particular campus from processing, you can check the "Exclude This Campus" checkbox, but this would only be the case in very rare cicrumstances. By default, the "Exclude This Campus" checkbox will be UNchecked.
4) Click the pencil icon to save your changes
5) Repeat that for all the campuses in your district
FINALLY and this is a VERY CRITICAL AND IMPORTANT STEP:
6) Once you have done all five steps above, click on Settings (from the main menu), then click District Info. When the District Info screen appears, UNCHECK the "Exclude My District" checkbox (at the bottom of the screen) and then click the pencil icon to save the changes. If you don't uncheck that checkbox, NO PROCESSING will occur for your district. Even if none of the campuses have the "Exclude This Campus" checkbox checked, you still must UNCHECK the "Exclude My District" checkbox (on the District Info screen) if you want your district to be processed.
If you correctly set which campuses feed which campuses AND set the highest grade level for each campus AND uncheck the "Exclude My District" checkbox (on the District Info screen), here is how your district will be processed:
- All students will be bumped up one grade level (seniors will be set to grade 00)
- All teacher assignments will be set "Unassigned" (some labs assign students to home room teachers, but we'll have no way of knowing who their new teacher will be. This can be set by the lab users once school starts, if they want to use that feature).
- After bumping the grade level, if a student's new grade level is higher than the highest grade level at their current campus, we'll move them to the campus that their current campus feeds to. If their campus has been set to feed to "Entire District", we'll move them out to the "Entire District" campus, and once school is underway, you'll have to manually go out and set each of these students to the appropriate campus by hand.
There will be several exceptions that will still require you to manually make adjustments. For example, if a student is retained, then you'll have to manually set their grade level back (and possibly move them back to their original campus, if they were moved by our processing, etc). However, we run this processing to help take care of the bulk of changes each year.
The good news is that all the CM lab history, etc, will still be associated with that student (this is one of the reasons we think that there is some high value in having all campuses within a district using the CMTS). Even if you are only using CMTS at one campus, you still need to follow the steps above to be included in the end of year processing.
We won't be taking ANY action on this until midnight on August 1st, 2010. If you have not specified your settings by then, your district won't be processed and we won't be able to re-run the processing again (which is why we are sending out this email in plenty of time!)
